Project Tracker

The Project Tracker provides visibility into team workload, project schedules, and resource allocation. Use it to manage capacity and ensure timely delivery of assessments.

Navigate to Project Tracker from the main navigation.

The Team View shows workload across all team members:

Visual representation of assignments:

  • Rows: Team members
  • Columns: Time periods (weeks/months)
  • Colors: Utilization level
    • Green: Available capacity
    • Yellow: Moderate load
    • Red: Overloaded

Gantt-style project visualization:

  • Project bars showing duration
  • Milestone markers

  3. View utilization per team member

Filter by:

  • Team member

  • Project type

Click on a team member to see:

  • Assigned projects
  • Hours allocated
  • Upcoming deadlines
  • Availability windows
  1. Open project settings
  2. Go to Team section
  3. Assign team members:
    • Project Lead
    • Team Members
    • Reviewers

Estimate effort per team member:

  1. In project settings, set Estimated Hours
  2. Allocate hours to team members
  3. Track actual vs. estimated

Use the tracker to:

  1. Identify overloaded team members
  2. Find available capacity
  3. Reassign work as needed

Each project has key dates:

  • Start Date: Assessment begins
  • End Date: Testing complete
  • Report Due: Final delivery deadline

Add milestones to projects:

  1. Open project settings
  2. Go to Milestones
  3. Add milestone:
    • Name
    • Date
    • Description
  4. Save

Common milestones:

  • Kickoff meeting
  • Testing start
  • Testing complete
  • Draft report
  • Final report

The tracker highlights:

  • Upcoming deadlines (7 days)
  • Today’s deadlines
  • Overdue items

Factors for capacity:

  • Working hours per week
  • Time off / PTO
  • Overhead (meetings, admin)
  • Concurrent project limit

Before scheduling new work:

  1. Check team availability
  2. Identify open windows
  3. Assign appropriate resources
  4. Set realistic deadlines

When conflicts arise:

  1. Identify the conflict in tracker
  2. Options:
    • Reassign team member
    • Adjust project dates
    • Add resources
    • Negotiate deadline

Export utilization data:

  1. Go to Project Tracker
  2. Click ReportsUtilization
  3. Select date range
  4. Export CSV or PDF

Summary of all projects:

  • Status distribution
  • Upcoming deadlines
  • Overdue projects
  • Completion trends
  • Update project status regularly
  • Log actual hours worked
  • Adjust estimates as needed
  • Close completed projects
  • Review tracker weekly
  • Look 2-4 weeks ahead
  • Identify bottlenecks early
  • Communicate capacity issues

Tracker data appears in Dashboard:
